How to create an email group in Microsoft Outlook

The setup process an Outlook contact list varies slightly depending on whether you’re using Windows, Mac, or Outlook Web App (OWA).

Let’s take a look at how to set up a distribution group on each platform:

A. For Windows platforms

This is how you can easily create a distribution list in Outlook on Windows:

Step 1

To create a new group, first open it Outlook. Then go to the navigation panel and click on the People icon (the small icon on the bottom left of your screen).

Alternatively, you can also select New Items > More Items > Contact group on the Home tab .

Under My Contacts select the folder where you want to save the contact group. Most people tend to save the new contact group in the Contacts folder.

Select New Contact Group from the Home tab in the top ribbon.

Set a group name for your contact group in the Name field .

Click Add Members Members and select “From Address Book” to add the E -Add members’ email addresses n. From Outlook Contacts” or “Create New Contact”.

This means:

  • From Address Book – This typically contains the email IDs of people in your organization.
  • Outlook Contact List – This mainly contains a set of external contacts that you store in a Microsoft Outlook Contacts folder
  • Create a new contact – This allows you to create a new contact to add to the list.

If the contact email list contains only a group of people from your company, you can also add multiple people from your company’s global address list. (A global address list is an electronic address book that contains the contact information of everyone in an organization.)

Note : If you must re-add member emails to your list from business or personal contacts, selectjust list and click Add members to complete the process repeat.

Step 6

Once you have selected members and set up your contact group, click Save & Close , and the members field will disappear.

Once you click Save, you can test your group by sending a new email to your group contact list.
