How to create a link in an email signature

Hyperlinks, or simply links, are at the heart of the internet. They allow you to instantly switch between different places on the web or, for example, start a call by clicking on a phone number. Nowadays, links are not only limited to websites, but are also common in email communication. In this article, I’ll show you how to enrich your email signature with different types of links.

Why links are used in your signature

An email signature is a perfect carrier of your contact details. Adding a website, blog, or social media links to an email signature gives your recipients easy access to these resources. This makes signatures more interactive and… more attractive.

In this section I will show you how to add different link types to your email signature. Each type serves a different purpose, but in the end it all boils down to making your communication more convenient for your recipients.

How to insert a link to a website

Back to basics (and Outlook 365) if you simply want to change the formatting of your link (eg. (e.g. color, apply bold, etc.), highlight your website address and use one of the options available in Outlook’s Notepad. You can format each link in your email signature the same way.

If you want your recipients to use a phrase instead of just seeing your website address (e.g. Visit our website) that appears, you must first delete your website address from the signature. Next, enter and highlight the sentence to be linked. Finally, click the Add a hyperlink button (#2 in the screenshot below), enter your website address in the dialog box that opens and click OK . Save your signature template and close Outlook’s signature editor.

Note that Outlook’s editor changes the formatting of the link to the default formatting (blue font with underline applied). Finally, to customize the appearance of your linked phrase to your needs, highlight it and use the formatting tools shown in the previous screenshot above.

If you need to insert more links, just move your cursor to a place where a link appears to be inserted, click the add hyperlink button and fill in all the details (address, text to be displayed). It’s that simple.

How to use additional link types

Create a link to an email address

Create a link to a phone number

Creating a phone link is quite similar to an email link. After highlighting the phone number in your signature and clicking the paste link button, you need to select Existing file or web page on the left and tel: immediately followed by your phone number. Remember to precede your phone number with the plus sign (+) and your country code. This way, your recipients can reach you by phone no matter what country they are calling you from.

Besides the most popular mailto: and tel: link types, there are also a number of others, e.g. callto: initiates a Skype call or sms: allows your Recipients to go straight to their SMS app to send you a text message. How to add a link to an image

If your email signature template includes a photo or other graphic element, you can also add a link to it. For example, if your recipient clicks on your banner, they’ll be taken to your special offer landing page.

The easiest way to link an image in a signature template you choose is to use the graphics in our free email signature generator. Once there, you must enter your link(s) in the …link to field(s). This turns the images into linked, clickable items.
