Archive items manually
By default, Outlook uses AutoArchive to archive items on a regular basis. For more information, see Automatically archive older items.
You can also archive items manually at any time. This allows you to control which items are archived, where they are stored, and how old an item must be before it can be archived.

Do one of the following :

In Outlook 2013: Click File > About > Cleanup Tools > Archive.

In Outlook 2016: Click File > Info > Tools > Clean up old items

Click Archive this folder and all subfolders and select the folder you want to archive.

Under Archive Items, older than , type e in Date.

You can create multiple .pst files if you want to archive some folders with different settings. For example, you may want to keep items in your Sent folder longer than items in your Inbox folder.

Check the Include items that have “Do not auto-archive”” check box. is enabled field to archive individual items that are excluded from automatic archiving. This option does not remove this exclusion from these items, but instead ignores the Do not automatically archive setting for this archive only.

Click OK.
